POSITION DESCRIPTION:

The Supply Administrative Analyst position will be responsible for vendor, customer and supply management, inventory operations, setups and administration for the Guttman Energy supply and trading business. The Supply Administrative Analyst will be an integral part of the supply and trading team working with the gasoline and diesel product businesses in the Fuels Division. The Supply Administrative Analyst position is a Non-Exempt position. The positon will be located in Belle Vernon, PA. This positon reports to the VP of Supply and Trading.

PRIMARY RESPONSIBILITIES:

  • Work with suppliers and sales team to set up customers via vendor systems and provide support with growth initiatives by ensuring accuracy of all required information
  • Summarize daily inventory, third party supply liftings and pricing related to those liftings
  • Manage daily summary of third party, terminal inventories and monitor ticket receipts as they occur throughout Company systems
  • Manage all loading issues and research any problems in real time with vendors
  • Coordinate nightly direction for all allocations at terminals
  • Assist with scheduling and deal entry as changes occur throughout the day
  • Manage rack loadings and coordinate between spot, term and fixed price deals
  • Manage and enter fixed price liftings, exposures and hedges and enter in tracking system
  • Manage and prepare the daily inventory board to manage overall diesel, heat and gasoline positions
  • Assist with pipeline, renewable fuels and truck scheduling
  • Verify accuracy of rack pricing and related sales pricing
  • Gather and enter pricing data
  • Verify accuracy of third party purchase invoices and submit for approval and processing
  • Provide general contract management including terms and conditions, terminal access agreements, marine provisions
  • Backup other supply department staff in scheduling when needed
  • Work together with management and sales in assessing and meeting the needs of the customers
  • Assume additional responsibilities as requested by manager

MINIMUM QUALIFICATION/REQUIREMENTS:

  • High school diploma or equivalent
  • 1-2 years of experience in supply management, inventory operations or the Energy Industry
  • Ability to actively listen to others and provide relevant and timely information to other departments
  • Effective Communication skills, both oral and written
  • Ability to be detailed orientated and work effectively in a team environment with minimal direct supervision
  • Effective critical thinking skills to analyze problems and make responsible business decisions
  • Strong computer skills; Experience working in Windows, Internet Explorer and MS-Office (Word, Excel, PowerPoint, etc.)

PREFERRED QUALIFICATIONS:

  • Knowledge of the Petroleum or Energy Industry

POSITION DESCRIPTION:

The inside sales position is located in the Belle Vernon, PA office. The candidate is responsible for prospecting and selling fleet card services to regional trucking companies located in the core marketing area. The function of the position is to initiate phone contact with trucking companies, begin to uncover needs, and build a plan to convert their existing fleet cards to Fuelman or Pacific Pride. The representative will handle new account set ups including credit applications, card orders, and various account maintenance functions. This position is a non-exempt position and reports to the VP Fleet Card Sales.

PRIMARY RESPONSIBILITIES:

  • Cold call commercial fleet businesses over the phone to uncover new prospective candidates for Guttman fleet card services. The prospecting process also includes e-mail communication and periodic face-to-face scheduled meetings.
  • Develop a strong understanding of the fleet card industry, competitors’ product offerings, and the specific fueling needs of trucking companies with 10 to 100 vehicles.
  • Schedule conference calls and in-person appointments with owners, CFO’s, and transportation managers to assess existing program and develop and market a sales plan to convert their business.
  • Utilize effective telephone prospecting skills and contact a maximum number of fleets during standard business hours Monday through Friday.
  • Maintain and update all contact information and prospecting notes within the CRM system.
  • Demonstrate professionalism and the 5 Guttman Group core brand attributes to customers, prospects, and employees (Trustworthy, Knowledgeable, Personal, Innovative, and Responsive).
  • Manage daily tasks efficiently to maximize prospecting activities over the phone.
  • Effectively manage active accounts including new card creation, report generation, pricing, and invoicing questions.
  • Review and complete credit applications prior to submission to credit department to streamline the credit approval process.
  • Responsible for acquiring new fleet card customers on a consistent basis, after the initial training period.
  • Provide quality service by communicating clearly and professionally to customers, department employees and management.
  • Make contact and manage multiple prospects through effective communication and follow up with contacts until a purchase decision is made.

MINIMUM QUALIFICATION/REQUIREMENTS:

  • Bachelor’s degree (B.A. or B.S.) from an accredited four-year college or university
  • 1-3 years of commercial sales experience and sales presentation experience
  • Strong communication skills with the ability to listen to others, express ideas both oral and written, and provide relevant and timely information to clients, managers, etc.
  • Intermediate Computer Skills; Experience working in Windows, Internet Explorer and MS-Office (Word, Excel, PowerPoint, etc.)
  • Ability to be self-motivated and work effectively in a team environment with minimal direct supervision
  • Effective critical thinking skills to analyze problems and make responsible business decisions
